2.1 Information you give us
- Contact details: your name, email address, phone number (if provided), company name, and job title.
- Free Operational AI Audit details: what's slowing your business down, whether you're considering hiring for it, and anything you share about how your operation works, including processes, tools, team structure, volumes, and goals.
- Messages and communications: the content of forms, emails, calls, meeting notes, and anything you send us.
- Scheduling details: the time you book and the information you enter when scheduling a call.
- Business and billing details (clients): company information, billing contact, invoices, and payment records. Payments are handled by our payment processor. We do not store full card or bank account numbers.
2.2 Information collected automatically
- Usage data: pages viewed, links and buttons clicked, time on page, the site or link that referred you, and campaign tags in the link you followed (for example, an ad or email campaign).
- Device and connection data: browser type, operating system, device type, screen size, language, and an approximate location (country or region) derived from your IP address.
- Server and security logs: IP address, request details, and timestamps, used to keep the Site running and secure.
Our Site analytics are privacy-friendly and do not use cookies to track you across websites or build an advertising profile of you.
2.3 Information from other sources
- Business contact sources: we may obtain business contact information, such as a name, work email, job title, and company, from public sources (company websites, professional networking profiles, business directories) and from commercial business-data providers, to contact businesses that may benefit from our services.
- Referrals and partners: a client or partner may share your business contact details when introducing you to us.
- Service providers: for example, our scheduling tool confirms your booking.
2.4 Information we do not want
Please don't send us sensitive personal information, such as Social Security numbers, financial account numbers, health information, or passwords, through our forms or by email. When an engagement needs system access, we arrange it securely as described in our Customer Data Policy.
3. How we use your information
| Purpose | Examples |
|---|---|
| Responding to you | Answering messages, scheduling calls, following up on your request. |
| Delivering the Free Operational AI Audit | Reviewing what you share, preparing findings, and walking you through them. |
| Providing our services | Proposals, agreements, delivery, support, invoicing, and account management. |
| Marketing to businesses | Sending relevant information about our services, case studies, and offers, with an opt-out in every message. |
| Measuring and improving | Understanding which pages, content, and campaigns are useful. |
| Security and integrity | Preventing spam, fraud, abuse, and unauthorized access. |
| Legal and compliance | Meeting tax, accounting, and legal obligations, and enforcing our terms. |
We use personal information only for these purposes, or for purposes compatible with them that we tell you about.
4. Legal bases (EEA, UK, and Switzerland)
If you are in the European Economic Area, the United Kingdom, or Switzerland, we process your information on these bases:
- Contract: to take steps you request before entering a contract, and to perform our agreements.
- Legitimate interests: to respond to inquiries, run and secure the Site, understand usage, and market our services to businesses, balanced against your rights.
- Consent: where required, for example for certain marketing or optional tracking. You can withdraw consent at any time.
- Legal obligation: to meet tax, accounting, and other legal requirements.
5. AI and automated processing
We may use AI tools to help summarize your inquiry, organize information you share for your audit, and draft findings that our team reviews. When we do:
- the AI services we use are configured so your information is not used to train their models;
- a person on our team reviews the work, and we do not make decisions about you based solely on automated processing that produce legal or similarly significant effects; and
- the information stays subject to this policy.
6. Cookies and similar technologies
- Site analytics: our analytics are cookieless and do not track you across other websites.
- Essential storage: the Site may use limited browser storage strictly needed for it to work, such as remembering a form you haven't finished.
- Embedded tools: if you use the embedded scheduling tool, its provider may set its own cookies under its own privacy policy.
- Advertising measurement: we do not place advertising cookies on the Site by default. If we add advertising measurement in the future, we will update this policy, ask for consent where the law requires it, and honor your opt-out choices.
- Global Privacy Control and Do Not Track: we treat a Global Privacy Control signal from your browser as a valid request to opt out of any sale or sharing of personal information and of targeted advertising. Because there's no common standard for "Do Not Track" signals, we treat them the same way where we can identify them.
You can also block or delete cookies in your browser settings.
7. How we share information
We do not sell your personal information. We share it only as described here:
- Service providers that help us run our business, including website hosting, database and form storage, email delivery, call scheduling, analytics, AI processing, customer relationship management, payment processing, bookkeeping, and IT security. They may use your information only to provide services to us, under confidentiality and data protection obligations.
- Professional advisors, such as accountants, auditors, insurers, and legal counsel, under confidentiality obligations.
- Legal and safety reasons: to comply with law, regulation, legal process, or a government request, or to protect the rights, property, or safety of Maritech Solutions, our clients, or others.
- Business transfers: in connection with a merger, acquisition, financing, or sale of all or part of our business, subject to this policy's protections.
- With your direction or consent: for example, when you ask us to introduce you to someone or to share information with a partner.
We do not share personal information for cross-context behavioral advertising.
8. Business marketing communications
If you give us your business email, or we obtain it as described in Section 2.3, we may send you information about our services. Every marketing email includes an unsubscribe link, and we honor opt-outs promptly. After you opt out, we keep a minimal record of your email address so we don't contact you again. We don't send text messages unless you ask us to.
9. Data of our clients' customers
When we work inside a client's systems, we process their customers' information only on the client's behalf and under the client's instructions. If you are a customer of one of our clients, please direct privacy requests to that business. We will help them respond.
10. How long we keep information
| Information | How long we keep it |
|---|---|
| Inquiries and contact form messages | Up to 24 months after our last interaction |
| Free Operational AI Audit materials | Up to 24 months after the audit, unless you become a client |
| Client account and engagement records | For the engagement, plus up to 7 years for tax, accounting, and legal purposes |
| Business contact records for outreach | Until you opt out or the record is no longer relevant, reviewed at least every 24 months |
| Marketing opt-out list | Indefinitely, so we can honor your choice |
| Server and security logs | Up to 90 days, unless needed to investigate an incident |
| Site analytics | Kept in aggregated, non-identifying form |
When information is no longer needed, we delete it or de-identify it.
11. How we protect information
We use administrative, technical, and physical safeguards appropriate to the information we hold, including:
- encrypted connections for the Site and our systems;
- access limited to the people who need it, with named accounts and multi-factor authentication;
- a password manager for credentials, never email or text;
- vetted service providers with strong security practices; and
- logging and monitoring of access to systems we manage.
No system is completely secure. If we learn of a security incident affecting your personal information, we will notify you and any required authorities as the law requires.
12. Your privacy rights
We give the following rights to everyone, wherever you live and whether or not a specific privacy law applies to us:
- Know and access: ask what personal information we hold about you and get a copy.
- Correct: ask us to fix inaccurate information.
- Delete: ask us to delete your personal information, subject to legal exceptions (for example, records we must keep for tax purposes).
- Portability: receive your information in a commonly used, machine-readable format.
- Opt out: of marketing emails, of any sale or sharing of personal information, of targeted advertising, and of profiling that produces significant effects.
- Withdraw consent: where we rely on consent.
- Non-discrimination: we will not treat you differently for exercising your rights.
How to make a request: email dev@maritech.solutions with the subject line "Privacy Request," or write to us at the address in Section 18. Tell us which right you want to exercise.
Verification: to protect your information, we verify requests by matching details you provide against information we hold. We may ask for more information if needed. We'll only use it to verify your request.
Authorized agents: you may use an authorized agent. We may ask for proof that the agent is authorized and confirm the request with you directly.
Response time: we respond within 30 days, and no later than 45 days. If we need more time, as permitted by law, we'll tell you why. EEA and UK requests receive a response within one month.
Appeals: if we decline your request, you can appeal by replying to our decision with the subject line "Privacy Appeal." A different person will review it and respond within 45 days. If you're not satisfied, you may contact your state attorney general or data protection authority.
